Class meeting times and locations: Class meeting times and places cannot be changed. If there are circumstances that necessitate such changes you should coordinate with the dean’s office and the registrar’s office. If at any time for a particular session you will meet with your class somewhere outside the class (e.g., site visit), you should inform the dean’s office about the meeting place of that particular session.

Final exams: All final exams must be conducted at the time designated in the academic calendar as the final exam dates and during the times determined by the Registrar’s Office. When there are exchange students, the final exam can be given earlier. Exams or assignments that are used in lieu of final exams should not be assigned to the final week of classes.

Midterm exams: All midterm exams you plan to give at any other time than the regular class time (e.g., on weekend) should be coordinated with the Registrar’s Office to minimize scheduling conflicts for students and the classrooms.

Exam proctoring: All exams must be proctored by faculty members responsible for that class. In cases there are several examination rooms, at least one faculty proctor should be present in each room. For large groups, additional proctors such as assistants should be encouraged to help. It is part of the duties of the faculty members to help with proctoring other faculty members’ exams. Özge Köroğlu keeps a record of proctoring to assure a balanced share of this duty. Please ask Özge Köroğlu to help you find proctors well in advance and in case you find your own proctors, please inform her so she can keep record correctly. To recruit graduate student assistants to help proctor an exam, please contact Graduate School of Social Sciences and Humanities.

Returning tests and assignments to students: Students should receive feedback for their assignments, quizzes, or exams within ten days after the exam.

Missed classes: If you have to miss a class because of illness or conference travel please arrange for someone else to teach for you at that time or schedule a make-up class.

Faculty absences: All faculty are expected to be on campus in coherence with their contracts, i.e., full-time or part-time. All faculty are expected to inform absences of a day or more to faculty secretary in writing, before the occurrence of the absence (excluding illnesses and emergency situations where the information can be submitted afterwards). This may be in the form of an e-mail or a filled-out absence form, whichever is more convenient. The information needed on the mail is the duration of the absence, the reason for the absence, and the phone numbers that would avail contact in case of urgent need. Absences that lead to missed classes must be either job-related or due to illness or an emergency. Please organize vacations to times when the classes or the final exams are not in session.

Faculty absences lead to more than equal share of administrative and student-related tasks for those who are present at school. We should all cooperate to share these tasks equally.

The annual leave period for faculty on 12-month contracts is one month a year. Summer leaves in addition to vacation time are possible if the leave is expected to enhance faculty career and can be taken in consultation with the dean.

Medium of instruction: The medium of instruction at Koç University is English with the exception of certain designated courses and programs. Therefore, lectures including those given in the labs, problem sessions, and student participation must be carried out in English. All faculty are expected to use English at all times when in class and they are responsible to assure that their assistants are also adhering to this rule.

Assessment methods / Grade submission: All final grades must be submitted on KUSIS by the date indicated on the academic calendar. Faculty must make grading transparent by posting grades (on KUSIS or Blackboard) and allowing students to see their exam or assignment papers. All grades must be returned to the students within ten days after the exam date or the due date of the assignments. The weights given to each assignment and/or exam should be announced in written form (e.g., in the syllabus, on blackboard, via e-mail) to students at the beginning of the semester.

Syllabi: Each faculty member has the responsibility to provide a detailed course syllabus and upload it to KUSIS at the beginning of the course planning period of the respective semester. The syllabus contains information on the course content, attendance policy, resources such as textbook and readers, evaluation of performance, make-up policy and academic integrity.

Office Hours: Faculty members are expected to keep regularly scheduled office hours each week for students and advisees. The number of hours scheduled should reflect the teaching load, number of advisees and class enrollment of the faculty member. Office hours should be flexible enough to provide reasonable access to students who may have class conflicts. Faculty members are responsible for providing students with the schedule of his/her office hours via the course syllabus and on their office doors.

Advising: Advising is an integral part of teaching. Faculty members are responsible for knowing the KU curriculum, including the core program, academic rules and regulations, as well as University and College/School requirements and procedures, which apply to their advisees, and they should also be familiar with the University’s service and support departments to be able to refer students to the relevant services. Academic advisors shall provide guidance and advising so that students can select courses that align with their interests and talents. Special attention should be given to freshman students who often experience adjustment problems, which might reflect on their performances.

Remedial / Amnesty Exams: If there is a final exam/assignment in a course, students who received an F are entitled to a Final Remedial Exam (“Bütünleme Sınavı”) on the date determined by the Registrar’s and Student Affairs Directorate. A student’s petition to take this exam may only be rejected if his/her overall grade is so low that even a perfect remedial exam score would not yield a final passing grade (i.e. a grade above F).

Undergraduate students who have completed all graduation course requirements satisfactorily or unsatisfactorily and yet are not eligible to graduate can take Graduation Amnesty exams (“Af /Not Yükseltme Sınavları”). Amnesty exams are offered at the end of the Fall and Summer semesters. In a given exam period, students are eligible to take an amnesty exam of the same course only once.
